The UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018 (DPA 2018) replaced the previous Data Protection Act and provide comprehensive data protection for the UK. Their purpose is to strengthen people’s data privacy rights and align with international data protection standards.
This privacy notice explains how we collect and treat any information given to us, the limited conditions under which we may disclose it to others and how we keep it secure.

1. Who we are
The Spanish Network of the UK Institute of Translation and Interpreting, the professional association for practising translators, interpreters and language services businesses, comprises over 120 translators and interpreters who have Spanish and English as one of their language combinations. Most of us are based in the UK but we have members all over the Spanish-speaking world.
Visitors to the website are not obliged to provide personal data. Nevertheless, anyone interested in our services can contact the network via the Contact Us page on the website, and some personal data will need to be collected in order to establish communication.
2. What type of information is collected and why
We collect, store and use personal data for the purposes of administering your membership of the network, providing and managing your access to the network website, including your details in our membership database and in our directory of translators and/or interpreters accessible to our members only, inviting you to join our e-group run on the Groups.io platform, communicating with you regarding network-organised events, or to comply with legal requirements.
3. Legal basis
We hold data on our network members for legitimate interests, provided these interests do not override members’ rights or we have consent to do so.
4. What personal data will be collected
Personal data collected may include members’ name, telephone number, address, email address, IP address, gender, business/company name.
5. How long we keep your personal data
Data relating to fully paid-up members will be retained throughout the membership period, or for the length of time stipulated to comply with legal obligations.
Data relating to membership enquiries will be retained for up to six months. All email communications received by members of the committee will be deleted after seven years.
Data relating to lapsed or terminated memberships will be retained upon consent from those members wishing to continue receiving emails about network-specific events.
6. Sharing your personal data
We do not use your personal data for marketing purposes. Your information will not be passed on to other organisations, nor will it be viewable by or accessible to members of the public. Your information will be viewable by other members of the network should you opt to show your profile in our members-only directory.
Other parties may have access to your personal data for administrative purposes, including the website and email hosting services. All these parties are GDPR-compliant.
7. Your rights and obligations
We take all precautionary steps to guarantee the security, integrity and confidentiality of personal data in compliance with the UK General Data Protection Regulation and Data Protection Act 2018, in relation to the processing of personal data and the free movement of such data. Where we process data of individuals in the European Union, we also comply with EU GDPR requirements.
You are entitled to access, modify, erase or contest the personal data that we hold, in accordance with the above-mentioned EU regulation. Please send your request directly to the Data Protection Officer using the contact email address below, and we will act upon this as soon as possible, within a maximum of one month from the date of your request.

8. Security measures
We take all possible precautionary measures to guarantee that your personal data is safeguarded. These measures include updates to computers and devices, the use of anti-virus software and firewalls, and back-ups of all personal data stored on the equipment used.

Like many other websites, we use cookies to collect data. Cookies are small pieces of information sent to your computer (PCs, smart phones or tablets) and stored on your hard drive as you browse. They are used to remember when your computer or device accesses this website, and help it to operate effectively, and deliver a more personalised service.
